Fees and refunds

Who pays us, when, and what happens when a placement or a cohort does not work out.

Candidates pay nothing

There is no refund policy for candidates because there is nothing to refund. Placement, resume work, interview preparation and offer support are paid for by the employer when a hire is made.

The single exception is training, which candidates do pay for, and which has its own terms further down this page.

If anyone claiming to act for us asks a candidate for a placement, processing or sponsorship fee, that is not us. Tell us at hello@crewconnectplacements.com and we will act on it.

Permanent placements

  • When the fee is due. On the candidate’s start date, invoiced net-30. Nothing is payable while a search is running, and nothing is payable if no hire is made.
  • The replacement guarantee. If a placed candidate leaves or is terminated for cause within the guarantee window in your agreement, we run the search again at no additional fee. Most agreements set this window at 60 or 90 days from the start date.
  • When a refund applies instead. Where you no longer need the role filled, a pro-rata refund against the unexpired portion of the guarantee window applies, on the scale set out in your agreement. We would rather refill the role, and will say so, but the choice is yours.
  • What the guarantee does not cover. A redundancy, a restructure, a hiring freeze, or a role withdrawn after the candidate started. Those are business decisions on your side rather than a failed placement, and the fee stands.

Contract and contract-to-hire

Contract staffing is billed hourly against approved timesheets, and there is nothing to refund on hours already worked — the contractor has been paid for them.

  • Ending an assignment. Either side can end it on the notice period in the agreement, usually two weeks. Billing stops at the end of the notice period.
  • The first week. If a contractor is not the right fit and you tell us inside the first five working days, we replace them and credit the hours billed for that week.
  • Conversion fees. Where a contract-to-hire converts, the conversion fee is on the schedule in your agreement — typically reducing the longer the contractor has been on assignment, to zero after the stated period. It is agreed before the assignment starts, not negotiated at conversion.

Embedded talent acquisition

Priced as a monthly capacity fee rather than per hire, with a three-month minimum term.

  • Cancel any time after the minimum term with 30 days’ notice. The final month is billed pro-rata to the notice date.
  • Monthly fees already invoiced for capacity that has been delivered are not refundable — the recruiter’s time was spent.
  • If we cannot staff the engagement with a suitable recruiter in a given month, that month is not billed.

Screening and payroll services

  • Background verification. Billed per completed report. A check cancelled before any source is opened is not billed; once sources are open, the components already run are billed, because the cost has been incurred with the source.
  • A report we got wrong. If we return an inaccurate report, we re-run it and credit the fee. This is separate from the candidate’s statutory dispute rights, which are described on the verification page and are not affected by anything here.
  • Payroll administration. Billed monthly per active worker. A penalty or interest charge caused by our administrative error is ours to pay, not yours to absorb.

Training cohorts

The one service candidates pay for, so the terms are deliberately generous at the start and firm later.

  • Before the cohort begins. Full refund, no questions, up to the day the first session runs.
  • First two weeks. Withdraw for any reason and receive a pro-rata refund of the remaining weeks, less a small administrative charge stated at enrolment.
  • After week two. No refund, because the cohort is capped and your place cannot be resold mid-track. You can defer once to a later cohort at no extra cost instead.
  • If we cancel or postpone. Full refund, or a place in the next cohort — your choice. We do not run a track below the minimum viable cohort size, and if that happens the refund is automatic.
  • No income-share agreements. We do not offer them. Tying our fee to your future salary makes your first job our revenue event, and that is the wrong incentive to have pointed at your career.

How to raise it

Email hello@crewconnectplacements.com with the invoice or enrolment reference. We aim to respond within five business days and to resolve a straightforward refund in the same cycle. Approved refunds go back by the original payment method.

If you think an invoice is wrong, say so before paying it. It is far easier to correct an invoice than to unwind a payment.
